College Assistant - Ph.D. Program in Psychology
GENERAL DUTIES Under supervision, performs miscellaneous clerical, administrative, research or other work related to the operation of a College or other unit where such work is required on a part-time basis or for a period of limited duration.
There is one Assignment Level for this position. All personnel perform related work. This specification describes typical assignments; related duties may be assigned as
needed. Maximum tenure for any employee in this hourly position is 1040 hours per year.
Performs routine clerical work; may answer and attend to telephone calls; maintain records,
operate office machines (such as copier), sort and distribute mail, issue keys and identity cards,
act as messenger, and perform related tasks as required. Types letters, memoranda, charts, and similar materials.
Acts as cashier.
Assists in statistical or research activities. May collect and compile data, code data for computer entry, perform data entry, and run computer reports.
Performs clerical library work, such as sorting and shelving books, performing data entry into library systems, or binding books and periodicals.
Assists in instructional programs, including tutoring and assisting students in areas such as reading and mathematics. May assist in speech and hearing therapy, provide musical accompaniment, and/or distribute and collect physical education equipment.
Enters and maintains departmental records such as inventory control records, rosters, directories, and schedules.
May operate computers, computer software, and other electronic equipment in performing assigned tasks.

Department Overview: The Ph.D. Program in Psychology is a vibrant program with 306 doctoral students and nearly 270 faculty across eight CUNY campuses. The Psychology Executive Office at the Graduate Center serves as the central hub, supporting student progress, research, and campus collaboration. The administrative staff, including the College Assistants, works closely with the Executive Officer, Assistant Program Officers, faculty, student leaders, and campus administrative staff to advance the doctoral program's mission by: Up holding the highest standards of professional behavior; Communicating effectively in writing, speaking, and electronic venues; Working to foster productive and respectful relationships with students, faculty, and administrators; and, Effectively representing the program to the Graduate Center and campus administrators and support staff.
Position Overview: The College Assistant will assist the Assistant Program Officers in the daily administrative functions of the Psychology Executive Office. The College Assistant will work 20 hours per week.
Responsibilities:
Under the supervision of the APOs, the primary duties of the College Assistant will include::Provide miscellaneous clerical and administrative tasks related to the operation of the Psychology Executive Office such as typing letters, memoranda, making copies, answering phone calls, creating flyers for the Program events, filing and delivering the forms to the other GC administrative Office etc. Provide administrative support to the monthly Psychology Executive Committee Meetings, schedule and set up Psychology meeting rooms. Assist in updating Psychology website and listservs. Perform e-filing student academic records and other e-filing related to the Program. Assist in entering and maintaining departmental records such as updating student and faculty information, Training Area Heads contact, mailing list, and courses schedule links. Assist in submitting the Programs’ budgetary documents such as typing the purchase requisitions, collecting signed forms, and scanning the documents. Perform related duties as assigned.
MINIMUM QUALIFICATIONS Must demonstrate sufficient skills to perform the duties of the assigned tasks.
OTHER QUALIFICATIONS
Preferred Qualifications: Previous professional office experience Strong attention to detail Proficiency in Microsoft Outlook, Excel, Access, Word, and Power Point Excellent organizational skills Professionalism and reliability Ability to multitask, be flexible, meet deadlines, and work collegially
COMPENSATION
$17.34 per hour
